Getting started

How do I put the app on my iPhone home screen?

Open digitalhealth.henacis.com in Safari (not inside WhatsApp, Instagram or Gmail: those open their own browser, which can't add it).

On a recent iPhone, tap the ••• button at the bottom right, then Share. On older iPhones, tap the Share button (the square with an arrow) at the bottom of the screen.

Scroll down the list. If you don't see Add to Home Screen, tap View More or Edit Actions to find it. Tap Add to Home Screen, then Add.

Open it from the new icon: it opens full screen, like an app.

How do I put it on an Android phone?

Open the website in Chrome, tap the ⋮ menu at the top right, then Add to Home screen (or Install app), then Add.

Do we need to install anything or buy new computers?

No. It runs in the web browser on the phones, tablets and laptops you already have. Each person signs in with their own email.

How long is the free trial, and when does it start?

31 full days, with every feature switched on and no card needed.

It starts the day the clinic signs up, so use those days on your real clinic before you decide.

How do I add my staff?

Open Staff, then Invite someone. Type their name and email, choose their role and job title, and send the invitation.

They get an email, accept it, and sign in with their own password. Nobody shares a login.

What can each role do?

Owner: everything, including Plan & billing, all branches and the data download.

Administrator: runs the clinic (staff, patients, payments, settings), without billing or the download.

Receptionist: registers and checks in patients, books appointments and records payments.

Dentist or doctor: gets arrival alerts, replies "ready in", writes findings, diagnosis and treatment, adds photos and sends referrals.

Assistant or nurse: sees the board and clinical notes, and moves patients in and out of the consultation.

Using it every day

How do I check a patient in?

On Today, type the patient's name, phone or patient number in Find a patient. Pick them (or add a new patient), choose who will see them and the reason, and tap Check in.

The doctor (or dentist) is alerted straight away.

How does the doctor tell the front desk they're ready?

The doctor taps Ready in 10, 20, 30 or 45, or Ready now. The front desk sees it on Today at once and sends the patient in.

How are payments recorded?

Open the visit and tap Record payment: the amount, what it's for and how it was paid (cash, transfer, POS).

In Clinic settings you choose whether patients pay before the consultation or before treatment, and the consultation fee. Each day's takings show on Today and Branches.

Where are the patient's notes and photos?

In the patient's folder. Every visit keeps the findings, diagnosis, treatment plan and price, and photos and x-rays taken with Take photo or chosen from the gallery.

Everything is there the next time the patient walks in. Photos are for clinical staff only.

Can X-rays go straight from our X-ray computer into the app?

Yes, with X-ray Link on the Standard plan (and during the free trial). The owner opens X-ray Link in the menu, downloads it on the Windows computer connected to the X-ray sensor, creates a link code and pastes it in, then chooses the folder where the X-ray software saves its images.

Before taking an X-ray, tap Take X-ray on the patient's page: everything taken in the next 15 minutes lands in that patient's folder. X-rays that don't say which patient wait under X-rays to file, ready to file with one tap.

How do I book an appointment?

Open Appointments (or the patient), choose who will see them, the date and time, and tap Book appointment. They can accept it or suggest another time.

How do I send aftercare to the patient?

The doctor writes the aftercare and next visit date on the visit. Then tap Aftercare on WhatsApp: the message opens in WhatsApp, ready to send to the patient's number.

How do referrals work?

Tap New referral, choose the patient, type the specialist's name and email and the reason, then Send referral.

The specialist gets a secure link by email and opens it free, without paying. The patient gets a referral ticket by copy, email, WhatsApp or print. You can see when it is opened and completed.

Essential includes 10 referral passes a month; Standard has no limit.

Plans and payment

What's the difference between Essential and Standard?

Both have every feature. Essential has limits: up to 5 staff, 10 GB of photos and 10 referral passes a month.

Standard removes the limits (unlimited staff and referrals, 50 GB of photos), and adds X-ray Link and priority support.

Can we pay yearly?

Yes. A year is twelve months at the full monthly price, paid once. There's no discount: it simply saves paying every month.

How do we pay?

On Plan & billing, through Paystack. Pay by card and the plan renews by itself until you stop it. Or pay by bank transfer, card or USSD for one month or one year at a time, and we'll email you before it ends.

We have several branches. Do we pay for each one?

Each branch is its own clinic with its own plan. On Branches, the owner can pay for all of them in one payment, at the full plan price for each branch.

How do we pay, and is it safe?

The owner pays on Plan & billing through Paystack, with a card or the other ways Paystack offers. We never see or store your card details.

You can stop automatic renewal at any time on Plan & billing.

Will you remind me before my trial or plan ends?

Yes. The owner gets an email 7 days and 3 days before the free trial ends, comparing the plans, and again the day before. Paid plans get a reminder before they renew or run out, a receipt for every payment, and a warning straight away if a card payment fails.

To make sure these reach you, add our address to your contacts. If one lands in spam or promotions, mark it "Not spam".

What happens when the trial or plan ends?

The workspace pauses until the owner picks a plan. Nothing is deleted, and the owner can still download every record.

Your data and security

Who can see our patients?

Only the staff you invite, each according to their role, and specialists you send a referral to.

Every clinic's records are locked to that clinic alone, and every change is saved with the name of the person who made it.

If we leave, can we take all our records?

Yes, at any time, free, even after your plan ends. In Clinic settings, under Your clinic's data, the owner taps Download records.

You get patients, visits with diagnoses and treatment, payments, appointments, referrals and staff as spreadsheets that open in Excel or Google Sheets, plus every photo and x-ray as an image file.

Can we have access to the database itself?

No clinic gets direct access to the shared database: that is what keeps your records apart from every other clinic's.

Instead, the owner can download a complete copy of the clinic's records whenever they like, in formats any other software can open.

I forgot my password.

On the sign-in page, tap Forgot your password? and we'll email you a link to set a new one. Henacis will never ask for your password.

Already using the app? Open Help & support in your clinic's menu to send us a question from inside it.

Digital Health is created by Henacis. Never share your password with anyone, including us: we will never ask for it.
